Conference Supervisor

Salary: €33k

Location: Offaly

 

Duties & Responsibilities:

  • Work with clients and event planners to understand the goals, requirements, and scope of each conference.
  • Coordinate logistics such as venue selection, catering, technology requirements, and other event-specific needs.
  • Create detailed event schedules and oversee all stages of event preparation, including timeline creation, vendor coordination, and attendee registration.
  • Supervise the on-site setup and teardown of events, ensuring everything runs according to plan.
  • Manage event staff, volunteers, and vendors during the conference to ensure smooth execution.
  • Handle last-minute changes and issues on-site to ensure minimal disruption to the event schedule.
  • Lead and manage a team of event assistants, volunteers, and contractors to support conference operations.
  • Assign duties, monitor performance, and ensure all team members are trained and informed on their responsibilities.
  • Provide outstanding customer service to conference attendees, speakers, and sponsors.
  • Address attendee questions, concerns, and requests promptly and professionally.
  • Coordinate feedback collection from participants to improve future events.
  • Maintain relationships with vendors, suppliers, and service providers to ensure timely and high-quality services.
  • Oversee contracts, budgets, and payments related to conference services.
  • Monitor event budgets and ensure expenses stay within limits while meeting the event’s objectives.
  • Make recommendations for cost-saving opportunities without compromising event quality.
  • Oversee post-event activities including clean-up, attendee feedback surveys, and debriefs with team members.
  • Analyse event success, review feedback, and propose improvements for future conferences.

Candidate:

  • Bachelor’s degree in Event Management, Hospitality, Business, or related field (or equivalent experience).
  • years of experience in conference/event coordination, with a proven track record of successful event execution.
  • Strong leadership and team management skills.
  • Exceptional organizational and time-management abilities, with attention to detail.
  • Excellent written and verbal communication skills.
  • Ability to thrive under pressure and manage multiple priorities.
  • Strong problem-solving skills and the ability to think quickly in a fast-paced environment.
  • Proficiency in event management software and Microsoft Office Suite.
  • Flexibility to travel and work outside regular office hours when necessary.
